Acceptable Use Policy

This Acceptable Use Policy covers the products, services and technologies (the "Products") provided by Bitrora, trading as RecruiterLog. It exists to protect candidates, employers, us, and the wider internet from irresponsible, exploitative and illegal use.

Anyone found engaging in the activities prohibited here can have their access suspended and their account terminated. In serious cases we are obliged to report the conduct to the relevant authorities.

This policy forms part of our Terms and Conditions.

Fair Use

We provide our facilities on the assumption that your use will be business as usual for the plan you are on. If your use is excessive, we may charge additional fees or restrict capacity, and we will tell you before we do.

We are opposed to all forms of abuse, discrimination, rights infringement, and any action that harms or disadvantages a group, an individual or a shared resource. We expect the same of our customers and of anyone using our Products through them.

Customer Accountability

Customers are responsible for their own actions and for the actions of anyone using our Products with their permission. That responsibility extends to anyone using the Products without authorisation because the customer failed to take reasonable security measures.

By accepting Products from us, customers agree to uphold this policy on behalf of everyone using the Products through them. Complaints about a customer or their users are forwarded to the nominated contact on the account.

If a customer, or anyone using our Products through them, breaches this policy, we may terminate the affected Products or the account, or take any other remedial or preventative action we consider appropriate, without notice. To the extent the law permits, no credit is available for service interrupted because of a breach of this policy.

Rules for Employers, Recruiters and Agencies

This is a hiring platform. These rules are the ones that matter most here, and breaking them is the fastest way to lose an account.

Job Listings Must Be Real

  • Do not post a role that does not exist, is already filled, or is posted only to collect CVs, build a talent pool, or advertise your agency.
  • Do not post the same role repeatedly to appear more active, and do not relist a role to reset its age or its reply clock.
  • Do not post on behalf of a company without its authority, and do not claim a company profile you are not employed by or instructed by.
  • Do not misrepresent the salary, the location, the workplace type, the seniority, or whether the role is permanent, contract or commission-only.
  • Do not use a listing to advertise training, certification, equipment, or any other thing a candidate must buy.

No Discriminatory Advertising or Screening

Do not post a listing, set a screening criterion, or send a message that excludes or prefers candidates on the basis of race, gender, sex, pregnancy, marital status, ethnic or social origin, colour, sexual orientation, age, disability, religion, conscience, belief, political opinion, culture, language, birth, HIV status, or any other ground protected by applicable law, including the South African Employment Equity Act 55 of 1998 and the equivalent statutes of any country you are hiring in.

Inherent requirements of a job, and lawful affirmative action or employment equity measures, are permitted where genuinely applicable. State them plainly in the listing.

Never Charge a Candidate

Do not ask a candidate for money, for bank details, for a deposit, for payment for training or placement, or for any fee of any kind, at any point. Do not direct them off-platform to do it. In South Africa charging a work seeker a fee is prohibited, and it is prohibited in many other jurisdictions. On RecruiterLog it is prohibited everywhere, without exception.

Candidate Data Is Not Yours to Reuse

  • Use a CV and profile only to assess that candidate for the role they applied to, or for a role you have told them about and they have agreed to be considered for.
  • Do not sell, licence, publish, or pass a candidate's CV or details to another company, client or agency without that candidate's specific consent.
  • Do not add a candidate to a marketing list, a newsletter, or a bulk messaging list because they applied to you.
  • Do not export candidate data in order to build a database outside the platform for onward use.
  • Do not attempt to identify a candidate who has chosen to remain anonymised, or to work around masking.
  • If a candidate asks you to delete their data, do it, and tell them you have.

Do Not Game the Record

The reply times, Ghost Index and Trust Score we publish are the product. Manipulating them is a fundamental breach.

  • Do not mark a ticket resolved, replied to, or closed without actually responding to the candidate.
  • Do not send an empty, meaningless or automated placeholder message to stop a reply clock.
  • Do not archive, decline or delete applications to keep them out of your statistics.
  • Do not create additional company profiles, accounts or seats to dilute or escape a record.
  • Do not close and reopen a business to shed its history.
  • Do not pressure, incentivise or threaten a candidate to withdraw or change a review.

Outreach and Messaging

  • Contact candidates through Candidate Search only about genuine, current, relevant roles.
  • One approach is contact. Repeated approaches after no reply, or after being asked to stop, are harassment.
  • Do not use the messaging system to sell anything other than the role under discussion.
  • Respect a mute or a block. Do not route around it with another seat or account.

Rules for Candidates

  • Apply as yourself. Do not impersonate another person, and do not submit a CV that is not about you.
  • Do not fabricate qualifications, employment, or identity. Do not submit forged documents.
  • Review only employers you genuinely dealt with, and describe only what actually happened. Do not post a review about a company you never applied to, and do not post one on someone else's behalf.
  • Do not submit applications in bulk to farm points, badges or giveaway entries, and do not apply to roles you have no interest in for the same reason.
  • Do not run more than one account, and do not create accounts to gain extra giveaway entries, referral credit or rewards.
  • Do not report a record as ghosted when the employer did respond.
  • Do not ask an employer for payment or reimbursement outside a lawful employment or contract arrangement.

Content Standards

Reviews, messages, listings, profiles and any other content you submit must not be:

  • False, or presented as fact when it is opinion or guesswork. State experiences as your own experience.
  • Defamatory of an identifiable person or company.
  • Hateful, harassing, threatening, or advocating racial, ethnic or other intolerance.
  • Obscene, sexually explicit, or depicting violence or the abuse of a child.
  • Someone else's personal information, published without their consent.
  • In breach of a confidentiality obligation you owe, including a former employer's trade secrets.
  • An advertisement, a referral link, or an off-platform contact route inserted to evade our moderation.

We screen listings and messages for prohibited content automatically before they publish, and we review reports from users. Removal is not a judgment on you personally, and you can contest it.

Platform Integrity

  • Do not scrape, crawl, harvest, or bulk-extract data from the platform, including the Public Ledger, the job board, company profiles and Candidate Search, by any automated means. Our published API and job feeds are the sanctioned routes, and the Data Partner API is the route for market data.
  • Do not attempt to re-identify an individual from aggregate or anonymised data, including data licensed through the Data Partner API.
  • Do not circumvent rate limits, paywalls, credit accounting, quotas or access controls.
  • Do not probe, scan or test the security of the platform without our prior written permission. If you find a vulnerability, report it to us and give us a reasonable chance to fix it before disclosing it.
  • Do not access an account, record or resource you are not authorised to access, and do not alter or destroy information about other users.
  • Do not introduce malicious code, or interfere with other customers' use of the platform, including by flooding it or attacking its availability.
  • Do not use our AI features to generate content that breaches this policy, and do not use them to extract the models, prompts or logic behind them.

Copyright and Unlawful Material

Our Products must not be used to transmit, distribute or store material in breach of any applicable law. That includes material protected by copyright, trademark, trade secret or other intellectual property right used without authorisation, and material that is obscene, defamatory, an unlawful threat, or in breach of export control law.

You are solely responsible for everything you upload, transmit, create or publish through our Products, and for holding the rights to use anything included in it. Our notice and counter-notice process is set out in our Terms and Conditions.

Spam and Unsolicited Messaging

Our Products must not be used to send unsolicited bulk or commercial messages. Messaging lists run through our Products must be confirmed opt-in, and evidence of that permission must be retained for as long as the list exists. Buying an email or telephone list from a third party and using it through our Products is prohibited.

This applies to messages sent using our Products, and to messages sent from anywhere else by you or on your behalf that direct the recipient to content hosted on our Products.

Unethical, Exploitative and Malicious Activity

  • Obtaining or attempting to obtain services from us while avoiding payment, or using our facilities to do the same to another provider.
  • Any act or omission in breach of consumer protection law.
  • Any violation of a person's privacy.
  • Advertising or distributing any product or service designed to breach this policy, or another provider's equivalent policy.

Our Products may not be used by any person or entity involved in, or suspected of involvement in, illegal gambling, terrorism, narcotics trafficking, arms trafficking, or the development or use of weapons of mass destruction, including anyone affiliated with those activities.

Unauthorised Use of RecruiterLog Property

We prohibit impersonating RecruiterLog, claiming a significant business relationship with us that does not exist, or claiming ownership of our Products or brand, in order to gain service, custom or trust dishonestly.

How We Enforce This

Our response is proportionate to what happened. Depending on the conduct we may remove content, correct a published record, restrict a feature, require identity verification, suspend an account, terminate it, or report the matter to a regulator or law enforcement.

Where we take action we will tell you what we did and why, unless telling you would compromise an investigation or we are legally prevented from doing so. You may contest any action by contacting us, and where an account has been banned there is a formal appeal route from the sign-in screen.

Conduct that manipulates published reply times or charges a candidate a fee will normally lead to termination on a first occurrence, rather than a warning. Those two rules protect the people with the least power in the transaction.

About This Policy

This policy describes a non-exclusive list of activity we consider unacceptable. Something not listed here can still be a breach if it is plainly against the spirit of it.

We may modify this policy by publishing a revised version. The revised version takes effect on the earlier of the date you next use our Products after publication, or 30 days after publication.
